A quote is created from the deal itself, so it takes the client's name, the services and the value from it. Once it is sent, the client gets a link that shows the items and the total and lets them accept in one click.
Before you start
- Quotes are available from the Starter plan up.
- The client must have a deal recorded in Sales.
Steps
- Open Sales from the side menu and open the deal's page.
- Click the More button at the top of the deal page and choose Quote. The quote is created as a draft and opens for editing.
- Check the Quote title, the client's details and Valid until.
- Under Items, edit the quantity, Unit price and Tax % of each item. Click Add item for any extra service.
- Add a Discount if there is one, and write the Terms and conditions.
- Click Save changes.
- On the quote's page, click Send to client. The quote's status changes to sent, and it is emailed to the client if their email is on the deal.
- Open the actions menu on the quote's page and click Copy public link. Send the link to the client by WhatsApp or email.
- The client opens the link, types their full name and clicks Accept quote, or writes a reason and clicks Decline quote.
Good to know
- A quote can only be edited while it is a draft. After sending, use Copy to make a new copy and edit that.
- The message after sending tells you which email the quote went to. If the client has no email on file, it says so: copy the public link and send it yourself.
- On the link the client sees the items, the total and a Download PDF button, and can draw a signature when accepting. You get a notification the first time they open the quote, and when they accept or decline.
- When the client accepts on the link, the deal is closed as won and a project is created for it automatically.
- If the client agrees by phone, click Accept on the quote's page to record it, then close the deal as won yourself.
- A discount above 20% needs a manager's approval before the quote can be sent.
