How do I edit the pipeline stages to fit my company?

Your workspace starts with a ready sales pipeline and default stages. Edit the names and percentages once, so the board speaks your team's language and follows your real sales steps.

Before you start

  • Editing a pipeline is open to the company owner and admins, and to anyone with permission to edit sales pipelines.

Steps

  1. Open Sales from the side menu.
  2. In the Sales menu, open the Sales settings group and click CRM settings.
  3. The Pipelines tab shows your pipeline and its stages. Click Edit next to the pipeline name.
  4. On the Edit sales pipeline page, change the Pipeline name if you want.
  5. Under Pipeline stages, edit the Stage name and the Probability % of each stage.
  6. To add a stage, click Add stage. To remove one you do not need, click Delete stage.
  7. Make sure you have one stage for won and one for lost: tick Closing stage and choose Won or Lost under Close outcome.
  8. Click Save changes.

Good to know

  • Probability % is how likely you think a deal is to close while it sits in that stage. It is used for the weighted value and the forecast on the Kanban board, so it should go up as the stages advance.
  • Keep the stages few and clear. Each one should stand for something that really happened with the client (contact made, quote sent, negotiation and so on).
  • When a deal is marked won or lost, it moves to the matching closing stage by itself. Do not delete those two stages.
  • A pipeline must have at least one stage.
  • The Free plan includes one sales pipeline. Paid plans allow more than one, for example one per service. See the plans page for details.
  • On the same CRM settings page, the Sources tab lets you edit the lead sources offered when you add a lead.
