An automation does a job by itself when something happens in your workspace, such as a new lead arriving or an invoice becoming overdue. The quickest way to start is a recipe: a ready-made automation with one switch.
Before you start
- Automations start on the Starter plan, which has a limit on how many you can run. See the plans page.
- You need permission to view automations, and permission to create them to switch a recipe.
- If a recipe sends WhatsApp, link your company number first.
Steps
- Open Marketing from the side menu.
- In the Automation group, choose Automation recipes.
- Use the filter at the top to show All, Marketing, Sales or Operations recipes.
- Read the recipe name and its description, then turn its switch on. The switch shows On, and a message confirms the recipe is running.
- To stop it, turn the switch off. It shows Off. Nothing is deleted and you can turn it on again at any time.
Good to know
- The same recipes page is in the Sales and Operations menus, already filtered to that area.
- Recipes marked From your industry pack were prepared for your type of business.
- Larger workspaces also see Automations in the same group. There you can click Create workflow or From template to build your own. A workflow can be Event-based, Scheduled or Manual.
- An automation can start from events on clients, projects, tasks, leads and invoices, from an incoming WhatsApp message, and from social activity such as a new comment or message.
- An automation can send an email, a notification or a WhatsApp message, create or assign a task, change a status, add a tag, assign a lead, create a project from a template or draft an invoice.
- If you only see the recipes page, your workspace is set to the small size. An admin can change it under Settings, then Agency size.
- When you reach the number of automations in your plan, you cannot create new ones until you upgrade. The ones you have keep working.
