Instead of approvals scattered across messages, you record what you will hand over as a deliverable inside the project and submit it for acceptance. The client answers from the portal in one click, and the answer is kept in the project's record.
Before you start
- The client has a user in the client portal.
- The project is linked to that client.
Steps
- Open the project. In the project menu, under Executing, choose Deliverables.
- Click Add deliverable. Type the Deliverable name, choose the Type, Owner and Due date, and write the Acceptance criteria (one per line). Then click Save.
- When the work is ready, open the actions menu next to the deliverable and choose Submit for acceptance, then confirm. Its status becomes Submitted.
- Let the client know something is waiting for their approval.
What the client does
- They open the portal, then Approvals. The deliverable is under Deliverables awaiting your approval.
- They click Review, then choose Approve or Request changes.
- For changes, they write what they need (this is required) and click Send change request. To approve, they click Confirm approval.
After the client answers
- Go back to the Deliverables page. The status is now Approved or Revision required, and the client's comment is saved in the deliverable's notes.
- If they asked for changes, make them, then choose Submit for acceptance again.
Good to know
- The project manager is notified of the client's decision. You can turn this off under Settings, then Client portal, then Approval rules.
- On the project page in the portal, the client sees every deliverable of the project and its status, including the ones you have not submitted yet. Give them clear, client-friendly names.
- A portal user with the Viewer role can see deliverables but cannot approve them.
- If the client approved by phone or in a meeting after you submitted it, record the decision yourself: choose Acceptance decision from the deliverable's actions.
- You can send an approved deliverable back to work with Reopen.
- Social media posts, briefs and media plans that you send to the client from the marketing tools show up for them on the same Approvals page. There they can approve several posts at once and write comments.
