When a client pays, record the payment on the invoice so the balance and status stay correct. Clients with portal access can also pay online if you connect a payment account.
Before you start
- The invoice must be sent. A draft cannot take a payment, so send it or mark it as sent first.
Steps
- Open Accounting from the side menu, then Invoices, and open the invoice.
- Click Record payment.
- Enter the Amount, or click Pay the full balance to fill in everything that is still due.
- Choose the Payment date and the Payment method. You can also add a Bank account, a Reference number and Notes.
- Click Record payment. A receipt is issued automatically. The invoice becomes Partially paid or Paid, and the Outstanding amount is updated.
To let clients pay online, do this once:
- Open Settings, then Payments.
- Under Payment accounts, click Add account.
- Choose Fawaterk as the gateway, give the account a name, choose Live mode, tick the currencies it accepts, and enter the API key from your own Fawaterk account. Click Save account.
- Copy the Webhook URL shown on the account into your Fawaterk dashboard, so payments are recorded automatically.
After that, a client who opens a sent invoice in the client portal and clicks Pay now sees a Pay online button. They pay the balance by card, e-wallet or Fawry, and the payment is recorded on the invoice for you.
Good to know
- The amount cannot be more than what is still outstanding on the invoice.
- Record payment only appears on invoices that are sent and still have a balance.
- All payments are listed under Accounting, then Payments. To undo one, open it, click Cancel payment and write the reason.
- You manage the list of payment methods under Accounting, then Payment methods.
- Online payment uses your own Fawaterk account, and the money goes to you directly. It only appears for invoices in a currency that the account accepts.
- The client portal is included in the Starter plan and higher.
