Invoices are where you bill clients for your work. Each invoice is saved as a draft first, so you can review it before the client sees it.
Before you start
- Accounting is included in the Starter plan and higher. See the plans page for details.
- The client needs an email address on their record, because the invoice is sent by email.
- Set your default tax rate first. The tax on a saved invoice is always calculated from that rate. See "Set your tax rate (VAT)".
Steps
- Open Accounting from the side menu, then Invoices. If you do not see Accounting, look under More.
- Click New invoice.
- In Client and dates, choose the Customer (or click Add customer), pick a Project if the invoice belongs to one, then check the Invoice date, Due date and Currency. Click Next.
- In Items, click Add item for each line. Write the item description, then enter the Quantity and Price. You can also pick a saved product or service to fill the line. Click Next.
- In Totals and notes, add a discount if you need one, and write any Notes or Terms & conditions for the client. Click Save.
- The invoice opens as a Draft. Review it, then click Send to customer. The client receives the invoice by email as a PDF and the status changes to Sent.
Good to know
- If you sent the invoice yourself another way, open More on the invoice and choose Mark as sent. Use Download PDF to get the file.
- Only a draft can be edited or deleted. To reuse an invoice, open More and choose Duplicate invoice.
- The due date is set 30 days after the invoice date unless you change it.
- If your company set an invoice approval threshold in the accounting settings, an invoice above that amount shows Pending approval and a second user must approve it before it is issued.
- Invoice statuses are: Draft, Sent, Viewed, Partially paid, Paid, Overdue and Cancelled.
- A client who has access to your client portal sees their sent invoices there. Drafts are never shown to the client.
